-- The scheduling of unionized health care workers is a very challenging task as the predominate approach is a manual one. It can take years until a manual schedule builder becomes very proficient at this task and as schedulers are retiring, finding new talent with the right aptitude is difficult.
As such individuals create schedules, all formal union rules and informal quality rules must be considered and complied with. Budget constraints, employee satisfaction and fatigue management must be addressed further complicating the task. Once a schedule is produced, a manual compliance check must be performed and the edit-compliance check process repeated until schedule compliance is deemed 100%.
Completing this manual process is time consuming, labour intensive and often results in schedule building queues that are quite lengthy. As a result, organizations are not as efficient and responsive to service demand variables as they could be which increases cost and misses service performance targets.
A team, now known as Alberta Machine Intelligence Institute, undertook the challenge and developed a software suite called MyRotation to automate this process. Once the product became commercially viable, proof of concept was performed and the results used to inform the value proposition.
Proof of Concept Project Outcome
The project design was as follows:
· 10 seasoned rotation builders would be involved in the project
· The 10 would manually solve and compliance check 10 rotations which represented a cross section of the organization’s rotation types such as:
o 12hr shifts
o 8 hr shifts
o Linear solving
o Multi-block Solving
· The 10 rotation builders would then utilize the MyRotation Tool Suite to Solve and compliance check the same group of 10 rotations
· A MyRotation team member would solve and compliance check the same 10 rotations to act as a control.
The results were as follows:
· Rotation builder’s average manual process time = 86.3 hours
· Rotation builders PFM Tool Suite process time= 7.32 hours saving 78.98 hours
· MyRotation team member using MyRotation Tool Suite process time = 4.7 hours
· The rotation builders were 11.8 times more productive using automation vs. a manual approach and the MyRotation control was 18.5 times more productive than the builders manual process time.
MyRotation is truly a game changer with respect to schedule creation and compliance evaluation.
